How to create Tasks in SmarterMail

This tutorial assumes that you have already logged into your SmarterMail account

To create a new task, select the icon for Tasks in the left navigation toolbar

Let’s create a new task by clicking on the New button

Select the Subject field and enter it here

Next select a Start and Due date and time using the date and time selectors

Select a time to be reminded before the task Start time

Click and select the Priority dropdown

Select the Description tab and enter a description for this task

Now click the Save button to save the new task

The new task will be displayed in the list of tasks

How to create RSS Feeds in SmarterMail

This tutorial assumes that you have already logged into your SmarterMail account

To create a new RSS Feed, select the icon for RSS Feeds in the left navigation toolbar

Click the New button to create a new RSS Feed

Select and enter a Name for this feed

Next enter the URL for the new RSS Feed

Now click on the Save button

Here we can see the feed that we just entered, and on the left, we can see the Name we gave this feed along with the number of items contained in it (in parentheses)

Click the feed name on the left to open the listing

Here we can view the 7 listings in this feed

Click on the Root Folder to take us back to the main RSS Feeds listing

How to read saved RSS Feeds in SmarterMail

This tutorial assumes that you have already logged into your SmarterMail account

To open a RSS Feed to read, select the icon for RSS Feeds in the left navigation toolbar

Click the name of the feed you wish to open and view

Click the Refresh button to refresh the current listing

Here you can view the contents of the feed item as well as select additional links

How to create new folders in SmarterMail

This tutorial assumes that you have already logged into your SmarterMail account

Select the Actions menu dropdown and then click on New Folder

Select and enter a Folder name

Click the Save button

Select and right-click the Building Project folder

Select New Folder

By default Building Project will be the selected Parent folder. Enter your new Folder name, this will be a sub-folder of the Building Project folder

Click on the Save button

Our Building Project folder now displays a + sign designating a sub-folder. Click the + sign to expand the view and display our sub-folder

How to modify Settings in SmarterMail

This tutorial assumes that you have already logged into your SmarterMail account

Click the down arrow button to scroll down in the left navigation toolbar if the Settings icon is not visible

From the User tab in Account Settings, you can edit the Display Name, Reply-To Email, Time Zone, and enter a Backup Email Address

Now click the Webmail tab

Here you can make changes like your Initial Page on Login, Display format, etc.

We will change the Delete Action dropdown to Move to Deleted Items Folder

Next click the Compose tab

Let’s change the default settings for new emails we will compose by changing the Compose Font to Arial

Now click on the Forwarding tab

Here we can have SmarterMail forward messages to another email address by entering an email address and optionally enabling deletion of messages after being forwarded

Click on the last tab, Plus Addressing

Next click the Save button to save all your changes

Plus Addressing allows you to filter emails without first having to create content filter rules as well as allowing you to use special email addresses if you do not want to give out your real email address

How to create an Auto-Responder in SmarterMail

This tutorial assumes that you have already logged into your SmarterMail account

Click the down arrow button to scroll down in the left navigation toolbar if the Settings icon is not visible

Under My Settings click the Auto-Responder option

First enable your auto-responder by checking the Enable auto-responder checkbox

Now click on the Auto-Responder Message tab

Enter a Subject and Message content for your auto-responder email

Now click the Save button to save and enable our auto-responder

How to import emails and contacts from another email service in SmarterMail

This tutorial assumes that you have already logged into your SmarterMail account

Click the down arrow button to scroll down in the left navigation toolbar if the Settings icon is not visible

Click on the + sign for Advanced Settings to make its options available

Next select Mailbox Migration

Select the Account Type to be imported from

After selecting an Account Type, click on the Next button

Next select the items to import by checking the appropriate checkboxes

Click the Next button

Enter the account credentials for the email service you will be importing data from

Next you can test the connection by clicking the Test Connection button

After a successful test click on the Next button to proceed with the import

Finally to begin the process click the Start button

The import will process and refresh this page every 5 seconds until completed. Click the Close button after completion

Our email now reflects the imported records as can be viewed by the email count indicators

We can open our Inbox to view our imported emails

How to send email messages in SmarterMail

This tutorial assumes that you have already logged into your SmarterMail account

Let’s view our Inbox messages by clicking on the Inbox link

By placing your mouse over the Add toolbar icon, you can select an option. Since we want to create and send a new email message, we will select Message

Enter a recipient for this email by clicking in the To field and entering a Contact or email address

We’ll select an address that is already in our Contacts list

Select the text area and enter your message

Select any Carbon copy or Blind carbon copy email addresses then click the Subject field and enter a Subject there

You can format HTML messages using the format toolbar

Once you’ve completed composing your message, click the Send button

Once the email has been sent, you can review your sent emails by clicking the Sent Items link

Here you can review any messages that have been previously sent

How to view email reports in SmarterMail

From the Reports page, you can view a number of report statistics including how many messages sent and received, SMTP (Simple Mail Transport Protocol) usage and errors

Message Traffic shows the number of incoming and outgoing messages, let’s click on the Message Traffic report link to view it

Here we can view the chart for incoming messages with dates and volume

Click the Message Data report link

You can generate reports using date ranges by selecting a starting From and ending To date

Enter the email addresses or domains you wish to designate as trusted senders and then click the Save button

How to login to SmarterMail

To login to SmarterMail, you need to open a browser and go to the URL provided by your webmail administrator

First enter your Email Address

Next select the language you would like to use for this session in the dropdown selector

Now select the Password field and enter the password provided by your webmail administrator

Checkmark the Remember me checkbox if you want to login automatically the next time

Next click on the Login button

Once logged in, you can view your My Today Page which contains a summary of Calendar, Unread Messages, RSS Items and Disk Space Limits

Click the Logout button to exit the application

How to open email messages in SmarterMail

The My Today Page summary shows there are two unread messages designated in a number of areas

This tutorial assumes that you have already logged into your SmarterMail account

To view and open any emails, we will view our Inbox by clicking the Inbox link

Here we can see the emails currently in our Inbox

If we select an email from those listed with a single click it will change its status from unread to read and change it from bold (unread) to normal text (read)

The currently selected email can be read in the Message preview area as well as perform a number of actions upon it like Reply, Reply All, Forward and Delete

By double-clicking on an email item we can open it in a new window

After opening an individual email we can read and take action upon it with the menu bar at the top of the email

You can change the way your email is viewed by clicking the View dropdown option

We’ll change the message content back to HTML from Text

Click on the Logout button to end the current session

How to create Contacts in SmarterMail

This tutorial assumes that you have already logged into your SmarterMail account

To create a new Contact, select the icon for Contacts in the left navigation toolbar

Existing Contacts will be listed here.

We will create a new contact so click on the New button

Select and enter a Display Name

Next select the First Name field

Then enter this contact’s Last Name

Now enter the Email Address for this contact

Enter any other infomation you wish for this contact. We will enter a Home Page

Click on the Date Selector icon to choose a date for the Date of Birth

Click on the Contact Info tab to fill in information there

Click the Work Info tab

Click the Additional Info tab

Click the Categories tab

Now click the Save button to save this new contact

Here we can see the new contact listed

How to create Appointments in SmarterMail

This tutorial assumes that you have already logged into your SmarterMail account

To create a new Appointment, select the icon for Calendar in the left navigation toolbar

Let’s move the calendar ahead one day by clicking the forward arrow

Here we see the Daily appointments view. You can change the current view by selecting any of the other calendar view tabs

To create a new appointment for the current day select a time and click on it or click on the New button

Select a Subject and enter it here

Let’s select the Attendees for this appointment/meeting. Click on the Attendees link

Select the attendees by checkmarking each one and then clicking the OK button

Select a Start and End date and time using the date and time selectors

Enter the Location information for this appointment

We’ll select a time for our Reminder next

Checkmark Enable to be sent an Email Notification reminder

Click on the Recurrence Information tab to select a recurring appointment

To add descriptive information for this appointment, click on the Description tab

To select a category, click on the Categories tab

Now click on the Save button to save this appointment

Here we can see our new appointment listed

Click on the All Appointments tab

Select the Daily, Weekly or Monthly tab to view appointments in those formats
